Privacy Policy

How JJOECN — our field-service and workforce management app — collects, uses, protects, and lets you control your information.

We respect your privacy and are committed to protecting the personal information you share with us. JJOECN is a field-service and workforce management platform used by our organization’s staff and partners — including technicians, supervisors, dispatchers, HR and management personnel, client reviewers, recruiters, and a dedicated Access Control Manager. HR and management personnel, and the Access Control Manager, manage the platform through the web-based administration dashboard and do not access it through the mobile app. Accounts are generally created and provisioned by the organization rather than by members of the public.

All accounts, across every role, are created, managed, and deleted exclusively by our HR administrators and super administrators. Users cannot self-register and cannot personally delete their own accounts; account creation and deletion are handled entirely by JJOE CABLE NETWORKS LLC’s administration. If you need your account or personal information modified or removed, please contact your administrator or use the details in the Contact Information section.

The Access Control Manager is a single, dedicated administrative account responsible for managing user roles and permissions and reviewing access-related activity (such as login activity and administrative action logs) across the platform, as a security and accountability function separate from day-to-day HR and operational management. This role can view account, role, and activity records needed for that purpose, but does not access job, customer, or payroll detail beyond what is necessary to administer access controls.

This Privacy Policy explains what information we collect, why we collect it, how we use and safeguard it, who we share it with, and the rights you have over your information. By logging in or otherwise using the App, you agree to the practices described in this Policy.

Data We Collect

We collect the following categories of information in order to provide and improve the App:

Account & login credentials
Username, a securely hashed version of your password (we never store passwords in plain text), your role/user type, account status, and login timestamps.
Profile & contact information
First and last name, contact email address, contact phone number, profile photo, and (for client reviewers) company name.
Employment & assignment information
For staff and technicians: employee number, government-issued identity/identification card number, employment type, hire date, employment status, assigned truck/vehicle number, tool assignments, pay sheets and payment/adjustment records, and related work records.
Job & service data
Job assignments, job locations (as a text address), parts used, reschedule requests, job reviews, and photos uploaded in connection with a job, tool, or vehicle.
Customer information
Customer name, service address, phone number, and email, which we process so that staff can carry out assigned jobs. This data is handled on behalf of our organization for service delivery.
Recruitment information
For recruiters and the candidates they refer: applicant and candidate name, email, phone, location, experience details, and uploaded resumes/documents.
Uploaded files & media
Photos and documents you choose to upload — such as profile photos, job/tool/vehicle photos, resumes, and reports — accessed only with your permission through your device’s camera, photo library, or file picker.
Device & push notification data
Device type (iOS), device name, app version, and a push notification token used to deliver alerts to your device.
Usage & activity data
Login timestamps, feature usage, and audit/activity logs of certain actions taken in the App (including administrative actions), used for security and accountability.
Network & technical data
IP address and browser/device user-agent string, captured automatically in our server and audit logs for security, diagnostics, and abuse prevention.
Diagnostic & crash data
Error reports, crash logs, and performance data collected through our error-monitoring provider (Sentry) to help us detect, diagnose, and fix problems. These reports may include technical context such as device and app state at the time of an error.

The App supports optional biometric login (such as Face ID or fingerprint). Biometric verification is performed entirely by your device’s operating system; we never receive, see, or store your biometric data. Aside from this, we do not intentionally collect sensitive personal information (such as precise GPS location or financial account numbers) unless expressly stated in this Policy or separately disclosed to you at the point of collection.

Purpose of Collection

We use the information described above to:

  • Create, authenticate, and secure your account;
  • Assign, schedule, track, and complete jobs and service work, and manage tools, vehicles, parts, and related records;
  • Manage employment-related records such as pay sheets, payments, and adjustments;
  • Verify employee identity and eligibility using a government-issued identity/identification card number, where collected;
  • Process recruitment applications and candidate leads submitted by recruiters;
  • Send push notifications and email about jobs, account activity, and service changes;
  • Diagnose technical problems, monitor performance, and improve reliability through error and crash reporting;
  • Maintain audit and activity logs to support security and accountability;
  • Detect, prevent, and respond to fraud, abuse, security incidents, and other harmful activity; and
  • Comply with applicable legal and contractual obligations.

We process your information only where we have a lawful basis to do so — for example, to perform our contract with you, to pursue our legitimate business interests, to comply with the law, or based on your consent.

Third-Party Sharing

We do not sell your personal information. We share information only with trusted service providers who help us operate the App, and only to the extent necessary for them to perform their services. These providers are contractually obligated to protect your information and to use it only for the purposes we specify.

The third-party services we rely on include:

DigitalOcean
Database and application hosting.
Sentry
Error, crash, and performance monitoring. Receives diagnostic data about errors that occur in the App and backend.
Expo (Expo Push Notification Service)
Delivery of push notifications to your device, which is in turn routed through Apple Push Notification service (APNs) and Google Firebase Cloud Messaging (FCM).
Google (Gmail SMTP)
Sending transactional and notification emails, such as account-related and service messages.

Each of these providers maintains its own privacy policy governing how it handles data. We encourage you to review their policies. We may also disclose information when required to do so by law, regulation, legal process, or enforceable governmental request, or where necessary to protect the rights, property, or safety of our users or the public.

In the event of a merger, acquisition, or sale of all or part of our business, your information may be transferred as part of that transaction. We will notify you of any such change in ownership or control of your personal information.

Data Storage & Security

Your data is stored on secure servers hosted by DigitalOcean. We implement appropriate technical and organizational measures designed to protect your information against unauthorized access, disclosure, alteration, and destruction. These measures include:

  • Encryption of data in transit using industry-standard TLS;
  • Storage of passwords using strong, one-way hashing;
  • Role-based access controls that limit who can view personal information to authorized personnel only, administered by our HR administrators, super administrators, and the dedicated Access Control Manager role described above;
  • Audit and activity logging to detect and investigate suspicious activity; and
  • Regular monitoring of our systems for vulnerabilities.

No method of transmission over the Internet or method of electronic storage is completely secure. While we strive to protect your personal information, we cannot guarantee its absolute security. You are responsible for keeping your account credentials confidential.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with the App. We will also retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. When your information is no longer required, we will delete it. Server logs containing IP addresses are typically retained for a limited period for security and diagnostic purposes and then deleted or aggregated.

Your Rights

You have control over your personal information. Depending on your location, you may have the right to:

  • Access — request a copy of the personal information we hold about you;
  • Correct — ask us to update or fix inaccurate or incomplete information;
  • Delete — request deletion of your account and associated personal information. Because all accounts are managed by our administration, you cannot delete your own account directly; instead, your HR administrator or a super administrator will action deletion requests, subject to any legal or employment record-keeping obligations;
  • Object or restrict — object to or ask us to limit certain processing of your information;
  • Withdraw consent — where processing is based on consent, withdraw that consent at any time; and
  • Data portability — request your information in a portable, machine-readable format.

To exercise any of these rights, please contact us using the details in the Contact Information section below. We will respond to your request within a reasonable timeframe and in accordance with applicable law. We may need to verify your identity before fulfilling certain requests.

Children’s Privacy

The App is a workforce and field-service management tool intended for use by adults in a professional or employment context. It is not directed to or intended for children. In particular, the App is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13, consistent with the U.S. Children’s Online Privacy Protection Act (COPPA).

Policy Updates

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will update the “Effective date” and version number at the top of this page and, where appropriate, provide a more prominent notice within the App or by email. We encourage you to review this Policy periodically. Your continued use of the App after any update constitutes your acceptance of the revised Policy.
